What's new in Gumtrue

This release makes it easier to get money in, keep it on the right account and run chains of shops. The web app is quicker to move around and now works properly on a phone.



Payments that land where they should

  • Your amount stays put: An amount you type on a payment no longer changes when you tick or untick invoices; ticks only fill in the amount while you haven't typed one.
  • One tick per invoice: Each invoice has a single tick that pays what's left on it, and late invoices read like "Overdue 12d".
  • Every open invoice is listed: Payment and credit note screens now list every open invoice for the customer, not just the first page. Invoices a payment has already paid off show at the top.
  • Saved in one go: A payment and the invoices it pays are saved together, so a save can no longer stop halfway or record the same payment twice.
  • Move a payment to the right customer: If a payment was entered against the wrong customer, you can now move it from its edit dialog as long as it hasn't been applied to any invoices, even after the bank has been reconciled.
  • The same for supplier payments: A supplier payment keyed against the wrong supplier can now be moved to the right one from its edit dialog.
  • Any method, any account: You can take any payment method into any bank or cash account. The method suggests your usual account, every account shows whether it is Cash or Bank, and you get a note if the pairing is unusual.


Chains, head accounts and sub accounts

  • Add a shop in one short form:Add Sub Account on a head account's Sub Accounts tab asks only for the account name and delivery site. The shop takes its terms, credit limit and invoicing from the head account, and you can tick to give it the same price lists and rounds.
  • Choose where a shop's transactions go: The Post transactions to setting lets each shop post to its head account or keep its own balance, and the Sub Accounts list shows which it does.
  • Invoice Pack: The Invoice Pack button on the Sub Accounts tab makes one PDF of every invoice on the head account for a period, from the head account and all its shops. You can add that period's statement to the front.
  • A shop's own invoices first: When you enter a payment or credit note from a shop that posts to its head account, you see that shop's invoices first. Show all (head account) invoices lists the rest.
  • Suppliers get sub accounts too: A parent supplier now has a Sub Accounts tab listing its depots or branches. The back arrow from one of them returns you to that tab.


Faster ways to get around

  • Create anything from anywhere: Press N or the + button in the top bar to open Create new, grouped by Sales, Money, Purchasing and Records. The form opens over the page you are on, and when you save you can View the record straight away.
  • Search or jump to:Ctrl+K searches customers, suppliers, products, orders, invoices and purchase orders, and shows your recent records and pages.
  • Keyboard shortcuts: Press ? to see every shortcut you can use, including the ones on the till.




Statements, credits and reports

  • Group statement rows by week or month: The new Group statement rows by setting under Settings → Invoicing prints a heading and a total for each week or month.
  • Invoices in credit: An invoice where more was returned than delivered now shows as Open credit. You can use that credit with Apply credit to invoices, or from the new Invoices in Credit table on the customer's Credits tab.
  • Filter sales reports by who created them: Sales Summary, Sales Listing, Sales Details, Sales by Product, Sales Analysis and Top Customers now have a Created by filter, and so do the order and invoice lists.
  • VAT breakdown in the export: The Sales Listing Excel export now has a net and VAT column for each VAT rate, replacing the separate VAT breakdown report.
  • Pin your reports: Star the reports you use most and see just those with the Pinned filter.
  • Customer orders by date: A customer's Orders tab has a Date Range picker and sortable columns, and supplier orders have the same picker.
  • Ageing that matches your week: The shading on outstanding invoices and bills now follows the weekly or monthly setting on the aged card.





Smaller things that save time

  • Approval rules for small teams: Under Settings → Approval rules, Let people approve their own requests lets people approve what they raised. You'll also be warned if nobody else could approve it.
  • Clearer approvals: Before you confirm, the approval screen says what approving will actually change.
  • Discounts on confirmed orders: When you amend a confirmed order you can now change the order discount, and the linked invoice updates to match.
  • One delivery site per round stop: Adding a customer to a round asks which of their active delivery sites it's for, so the same shop can't appear twice.
  • Returned quantities on invoice import: The invoice import can take a Returned Qty column if you use returns, and one import can now hold up to 5,000 rows.
  • Clearer Details tabs: The customer and supplier Details tabs are laid out as neat labelled sections, and a head account now shows its sub accounts.
  • A new sign-in page: The web app has a new sign-in screen. Once you've signed in, your company code is remembered, and you get clearer messages and a Caps Lock warning. 
  • Easier to read: Colours were adjusted across the app so figures, status labels, icons and buttons are easier to read in light and dark mode. The green now matches the Gumtrue logo.
