What's new in Gumtrue


A big release. Settings has been rebuilt from one long page into a proper Configuration hub, there are three new reports, supplier records catch up with the customer side, and money on account finally reads the same wherever you look at it.

The driver app section near the end covers the Android app. Everything else is the web app.


Settings, rebuilt as a Configuration hub

  • One long page becomes a hub: Settings now has a rail down the left grouped into You, Business, People and Finance and Records, and every section has its own address so you can bookmark the one you use.
  • Search your settings: Type into Search settings and it finds the setting by its name, its description or a word you might think of instead, then jumps to it and highlights it for a moment.
  • Users, roles and templates live here now: Users, Roles and permissions, UI profiles and Document templates have moved into the hub, so configuration is all in one place instead of spread across three menu items.
  • Your account moved in too: Your own details and your password are now under Your account in Settings, next to dark mode and content width, rather than on a separate profile page.
  • Chart of accounts, tax rates and the audit log get real pages: These used to be tabs with no address of their own, so you could not link to them. Each is now its own page.
  • Approvals has its own menu item: The business approvals queue used to be buried on the old System page and now sits in the main sidebar.
  • Switches save themselves: Flip a toggle and it saves on its own with a small tick. Only the boxes you type into need saving, and those collect into one save bar at the bottom of the screen that tells you how many changes are waiting.
  • Old links still work: Any bookmark you had to the old Users, System, Document Templates or Profile pages takes you to the right place in the hub.

Three new reports

  • Sales Analysis: A new report showing quantities and money sold over any date range, grouped by customer, product, category, or customer and product, with optional filters for a single customer, category or product.
  • Sales Listing (VAT Breakdown): A new report giving you the VAT breakdown behind your sales listing, with subtotal and discount columns.
  • Stock Reorder: A new report showing what needs reordering, filtered by category, supplier and stock level, with the option to raise draft purchase orders straight from it.
  • Set your own reorder levels: Products now carry a minimum and a maximum stock level, so low stock means what you decided it means rather than a fixed figure of ten for everything.
  • Discounts shown on sales reports: Sales Summary, Sales by Product and the VAT reports now show a subtotal and a discount column when the period actually has a discount to explain.

Suppliers catch up with customers

  • Supplier opening balances: You can now enter a supplier's opening balance the same way you enter a customer's, and it becomes a real bill or credit note you can allocate against instead of a figure that nothing can pay off.
  • Sort the supplier list: Six columns on the suppliers list are now sortable, and your sorting, search and filters survive going into a supplier and coming back.
  • A status filter on suppliers: Filter the supplier list by status, the way you already could elsewhere.
  • Supplier credit notes can be allocated: The supplier credit note screen now has the same Allocate to Bills panel that customer credit notes have always had.

Money on account that reads the same everywhere

  • One set of status words: Payments and credit notes now read Open, Partly applied and Applied wherever you see them, on the customer page, the supplier page and in Treasury, and the filter above the list matches the words on the rows.
  • Partly applied is now a real status: A payment or credit note that has been half used up says so, instead of looking untouched.
  • Unapply properly: You can now open a credit note that has been fully used, adjust it or take an allocation off, and the money goes back to the note so you can use it again.
  • Overdue supplier bills can be filtered: Supplier bills now use the same words as the supplier Transactions tab, so a bill cannot be Posted in one place and Open in another, and Outstanding and Overdue are options you can actually pick.

Weekly invoicing

  • Move an order off a week: You can take a single order off a weekly invoice from the invoice actions menu, and the week tidies itself up afterwards.
  • Deleting a weekly invoice asks the right questions: Deleting an invoice now offers you what to do with the orders behind it, rather than leaving deliveries stranded.
  • Notices on the weekly grid: The weekly order grid now tells you which days you can still change and how stock will move, with an information tooltip explaining the rules.
  • A week with payments is no longer locked out: Weeks that have been paid can still be worked on, rather than being closed off entirely.
  • Filter invoices and bills by type: Sales Invoices and Supplier Bills gain a Standard or Weekly filter when weekly invoicing is switched on.

Quick Bill

  • Enter a supplier bill without keying every line: Quick Bill is the purchasing twin of Quick Invoice. Pick a product, type the total, pick the VAT rate, and add as many summary lines as you need, with your purchase ledger and VAT return still correct.
  • Type the figure off the paperwork: Switch the entry between net and gross, and in gross mode the number you type is stored exactly, so a bill keyed from a supplier's invoice matches it to the penny.

Correcting orders and invoices

  • Editing an invoice updates its order: When you edit an invoice that came from one order, a notice tells you the order will be updated to match, so the two documents always agree.
  • Amend a confirmed order whenever you need to: Amending is now controlled purely by the Amend confirmed orders permission, with no time window, so a delivery from weeks ago can still be corrected. Whether the correction moves stock is controlled separately by your Corrections move stock setting.
  • Delete a delivered order: There is a new permission for permanently deleting an order that has already been delivered, with the stock put back and the whole thing recorded in the audit log.
  • Backdated entries are billing only: Keying a week older than your stock correction window records the money without touching stock, so historical corrections do not disturb today's figures.

Permissions that match what you can actually do

  • Custom roles work properly: A custom role holding all the right permissions can now open the pages and use the buttons those permissions describe. Several areas used to check for the Administrator role by name and shut everyone else out.
  • Import and export have their own permissions: Uploading a spreadsheet is now its own permission rather than riding on the ability to add a single record, so someone who can add one customer cannot replace the whole customer list.
  • Buttons you cannot use are no longer offered: Around twenty buttons across the app, including Quick Invoice, Import, New Credit Note, Record Payment, Add Warehouse and Create route, now appear only for people who can actually use them.
  • Cost prices stay hidden: Purchase order lines and the stock valuation report no longer show the cost price to people who are not allowed to see it.
  • Locking yourself out is blocked: You can no longer accidentally remove the last person who is able to manage permissions.
  • Tags and support approvals can be delegated: New permissions cover managing and assigning tags and answering the support approval queue.

Smaller things that save time

  • Forms take you to the problem: When a form will not save, the app now takes you to the field that needs fixing, and the red outline clears the moment you start typing.
  • Gross on every document: The VAT breakdown now shows the gross figure per band on sales orders, purchase orders and supplier bills, not just on invoices, so it lines up with the paperwork you are checking it against.
  • No pointless VAT box: The VAT breakdown is hidden altogether when every line is zero rated, instead of printing a 0% row that repeats the totals.
  • Customer and supplier codes on detail pages: The code is shown on the customer and supplier detail pages where you have one.
  • VAT Number, not Tax Number: Customer screens now say VAT Number.
  • Your list stays where you left it: Sorting and status filters on Products, Customers, Suppliers and Treasury survive opening a record and pressing back.
  • Import a week: The invoice import now handles weekly invoices and delivery dates.
  • Sections are easier to scan: Form sections carry an icon and a short line of explanation.
